Law Firm Receptionist / Administration Officer (Full-Time)
We are seeking a reliable, organised and professional Receptionist / Administration Officer to join our law firm on a full-time basis.
The Role – Reception
- Answer and direct incoming phone calls, take messages and update records using Google Docs
- Manage incoming and outgoing mail and parcels
- Check the company mailbox and collect newspapers from downstairs
- Arrange couriers as required
- Coordinate client arrivals and meetings, including preparing and tidying meeting rooms
- Coordinate security processes, including access cards and attendance reports
- Record general reception expenses in the LEAP system
- Act as the central point of contact for the organisation
- Administer the archiving process for closed matters and arrange national storage where required
- Coordinate fortnightly ordering of office supplies
The Role – Administration
- Process payment of matter-related expenses and record them in the LEAP system
- Record tax invoices in MYOB and reconcile accounts monthly
- File all tax invoices and receipts for both general and matter-related expenses
- Record the Transit Money Register in LEAP
- Manage deferred payments
- Send onboarding documents to new employees and create LEAP IDs
- Set up desks and phones for new staff
- Act as a backup for booking staff travel arrangements
